The method below will allow you to share access to a Google Analytics (GA) account safely and securely.
Google Analytics is an incredibly powerful reporting tool that can help you keep track of how many visits you site gets, what visitors are doing on your site and where they are coming from. It’s completely free, but it does require quite a bit of set up. To help with this, we often require access to a client’s Google Analytics account.
Never share your Google account password!
Google Analytics is linked to your Google account, so if the password falls into the wrong hands you could lose more than just your analytics access. Email (if you use GMail), documents (if you use Google Drive) and even your internal business systems (if you use GSuite) could all be compromised.
Here’s how to share access to a Google Analytics account without sharing your password:
Use the method below to retain control over who can do what on your Google account at all times, and without sharing the password to your entire Google profile (which is likely connected to your email account). This is the quickest way to do it. No more messing around with account verification codes over text!
Step 1: Open up your Google Analytics dashboard
- Log into your Google Analytics account at https://analytics.google.com
- Once you’re in, you should see a screen similar to the below:
Step 2: Enter the Admin area
Click the ‘Admin‘ button, found in the bottom left of the dashboard with a grey settings cog next to it:
In the Admin area, you will see three columns of settings:
– Account (global settings for your whole account, the highest level possible),
– Property (settings for websites or apps you have added analytics to)
– View (settings for different ‘views’ of the analytics data of each property).
You can share user access to any of these settings on their own, but in this case, we are going to share user access to everything by sharing it at the Account level. This will automatically give our new user access to everything in Property and View as well.
Step 3: Enter the Account User Manager Area
Click the ‘Account User Management‘ link, found in the Account column (the first one):
You will then taken to the Account User Manager.
Step 4: Add the new user you want to share access with
- Hit the large + icon in the blue circle (top-right) to add a new user to your Google Analytics account:
- Then click ‘Add Users‘
Now you can fill in the new user’s email and set their permissions. Typically an admin will need access to all of these settings, so we recommend ticking all boxes with the exception of Manage Users which you should leave unticked:
This will allow you to remove your new admin should you need to, retaining control over who has access to your account.
Step 5: Hit Add. That’s it!
Click the blue ‘Add‘ button (top-right corner). Your new admin will now be able to access your Google Analytics account!
